Booking Terms and Conditions |

This page lists a set of regular booking terms and conditions associated with your trip. In case of exception, we will inform you if a particular trip differs from what is mentioned herein.
Adventure Imagine Pvt. Ltd. including its subsidiary and agents accepts booking subject to the following terms and conditions.
Accuracy of Information
Information or advice provided by the company on matters such as permits, visas, climate, clothing, baggage, special equipment, etc, is given in good faith but without responsibility on the part of the company. It is the final responsibility of participant to check the validity of and to qualify for any necessary visas and travel documents required for the tour.
Booking Guarantee -
Once confirmed, we will not cancel any trip except for uncontrolable situations like government-imposed restrictions, strikes, security issues, or mandatory requirement of minimum number of participants.
Deposit and Final Payment -
Unless mentioned otherwise, we require a small deposit (10 to 20%) of total trip cost to confirm your booking. After receiving deposit, we immediately start working towards all necessary reservations; staff, hotels, transport, permits & flights as required by your trip. Deposits are not refundable (in limited cases it can only be transferred to future trip).
The balance is payable upon your arrival. Balance can be paid in Cash (USD, GBP, CAD, AUD or INR), Travel Cheques or by VISA/MasterCard.
Bank Fees and Payment by Card -
Bank fees will have to be covered by participants. Payment by debit card or credit card (VISA/MasterCard) is subject to 4% bank fees.
Cancellation Fees -
There are no cancellation fees (see exceptions below) if you inform us in advance. Your deposit will so be refundable or transferrable to any trips that can be used by you or your friends travelleing with us in future.
Exceptions when cancellation fee may occur -
- Trip requires advance payment of permit fees and/or visa fees
- Involves hotel booking who provide no refund
- Flight tickets are already issued or permits are already issued
- Payment has already been forwarded to other agency for their part of services
- Close cancellations (15 days/less) or no-shows
Refunds -
The will be no refund for unusued services or extra expenses incurred after breaking away from itinerary on your will. Group pricing are subject to services provided together with the group - alternative arrangements may or may not be provided to participants missing out activity planned with a group.
Refusals of Visas/Permits and disruptions -
In extremely rare (but possible) situation, there could be refusal of visas and/or permits right ahead or after start of the trip. The situation can fundamentally change the remaining part of trip. We cannot be held responsible for such refusals or restrictions that are dependent to government bodies. Under such circumstances, a reasonably possible alternative trip will be offered.
Loss or damage -
While we take great care to provide proper care and safeguard your belongings on trip, we cannot be held responsible for the normal wear and tear, theft, loss or damage to property.
Medical Expenses, Emergencies and Extra Expenses -
It is up to participants to pay for medical expenses, extra expenses occured due to emegency situations, accidents or other unforseeable events. Our responsibility is strictly limited to services that we clearly list out while communicating details of trips.
Insurance -
Our insurance covers only our company's staff including guide, porters and assistants on the field. Participants must arrange their own insurance adequate enough to cover health, emergency evacuation (ambulance and helicopter rescue services), loss and damage.
Accuracy of the Itinerary, Changes and Flexibility
The outline itineraries provided for any trip act only as a general guideline. Under normal circumstances it should be accomplished, but it is not as a contractual obligation on the part of Adventure Imagine. Changes in itinerary may be required or forced by political conditions, flight delays/cancellations, government restrictions, delays or refusal of permits, mechanical breakdown, weather, sickness, or other unforeseeable circumstances. Every effort will be made to minimize the impact and to select the best alternative upon consultation with the group - final decision left to the leader.
Acceptance of Risk
It is understood that you acknolwedge and accept the risks and hazards that might be involved in trips, including injury, disease, illness, death, inconvenience and discomfort. You agree to hold harmless the company and its employees for such situations.
